Esper Electric Time Entry Reminders

Program Description

Esper Electric, Ltd. sends automated SMS text messages to its own employees as reminders to submit their daily time entry in the Esper Electric internal time-tracking application. This is a private, employer-to-employee operational messaging program. The program does not send marketing, promotional, or third-party content of any kind. Only active employees of Esper Electric, Ltd. are eligible.

Who Can Receive Messages

Only mobile phone numbers belonging to current Esper Electric, Ltd. employees who have provided their number to Esper Electric and have opted in to text-message notifications. Esper Electric does not send SMS messages to the general public, customers, or non-employees.

How Employees Opt In (Consent / Call to Action)

An Esper Electric employee may consent to receive SMS time-entry reminders in either of the following two ways. Both opt-in paths result in the same SMS program described above.

  1. Self-service inside the Esper Electric mobile app. Each Esper Electric employee has their own login to the Esper Electric mobile application. After signing in, the employee navigates to Settings → Text Message (SMS) Notifications, reads the on-screen consent disclosure (which states the program purpose, frequency, "message and data rates may apply," STOP and HELP behavior, the third-party-sharing restriction, and that consent is not a condition of employment), and toggles "SMS Time-Entry Reminders" to ON to opt in or to OFF to opt out. The toggle is the consent action: it directly sets the employee's notification_opt_in flag in our database, and is the same flag the SMS sending job checks before each message. The same screen displays the mobile phone number on file with HR so the employee can verify it before opting in. The employee may toggle off at any time, and replying STOP to any received message has the same effect.
  2. HR-mediated opt-in during onboarding. As a courtesy, Esper Electric HR may set the opt-in flag on behalf of an employee during onboarding when the employee has provided informed verbal or written consent to receive the SMS messages. In that case, HR explains the SMS program (program purpose, frequency, "message and data rates may apply," STOP and HELP behavior, that consent is not a condition of employment, and that mobile numbers will not be shared with third parties for marketing) and confirms the employee's consent before enabling the "Text Message Notification" preference on the employee record in the internal Esper Electric employee management application. Even after HR enables the preference, the employee can review and change it themselves at any time using the self-service path described in #1, and replying STOP to any message will opt them out immediately.

No SMS message will be sent to a phone number that has not been opted in by one of the two methods above. Esper Electric does not buy, lease, scrape, or import phone numbers from any third party.

Types of Messages and Examples

Employees who have opted in may receive two types of messages on weekdays only, when (and only when) they have not yet submitted their time entry for the previous workday:

Message Frequency

Up to 2 messages per weekday, per employee (a maximum of approximately 10 messages per week). Messages are sent only on weekdays and only when a time entry is missing. Most employees who submit time entries on time will receive zero messages in a given week.

Message and Data Rates

Message and data rates may apply. Esper Electric does not charge for SMS messages, but your mobile carrier's standard messaging and data rates apply.

Opt-Out (STOP)

You can stop receiving SMS messages at any time by replying STOP to any message. After opting out, you will receive a one-time confirmation message and no further SMS messages will be sent. You may also opt out by asking HR or by setting the "Text Message Notification" preference to "Opt-out" on your employee record. Opting out of SMS does not affect your obligation to submit daily time entries through the Esper Electric app.

Privacy

Mobile phone numbers and SMS opt-in information collected for this program are used solely to operate the SMS time-entry reminder program described above. Esper Electric will not sell, rent, share, or otherwise disclose mobile phone numbers or SMS opt-in / consent data to any third party or affiliate for marketing or promotional purposes. No mobile information is shared with third parties for any purpose other than the technical delivery of the messages described here (i.e., our SMS provider, Twilio). Carrier Disclaimer

Carriers are not liable for delayed or undelivered messages.

Consent Summary

By providing your mobile phone number to Esper Electric and opting in via the HR onboarding form or the in-app "Text Message Notification" toggle, you consent to receive automated time-entry reminder messages via SMS as described above. Consent is not a condition of employment, but timely time-entry submission remains required per company policy.

Changes

We may update these terms at any time. Continued use of our website or services constitutes acceptance of updated terms.
